Terms of Service
These terms cover your use of this website and the work Civic Field Services LLC performs for you. Please read them before requesting a quote or booking a job.
Effective date: August 27, 2026
1. Agreement to These Terms
By using https://civicfieldservices.com, submitting a quote request, or accepting an estimate from Civic Field Services LLC (“we”, “us”, “our”), you agree to these Terms of Service. If you do not agree with them, please do not use the site or engage us for work.
If you are agreeing on behalf of a company, a property management firm, or an owner, you confirm you are authorized to do so and to approve work at the property in question.
2. Use of This Website
This site is an informational website with a single quote request form. There are no user accounts, no customer portal, and no payments taken online. You agree not to:
- Submit false, misleading, or automated quote requests, or use someone else’s contact details
- Attempt to disrupt, overload, probe, or gain unauthorized access to the site or the systems behind it
- Copy, republish, or reuse our text, photographs, logo, or branding without written permission
- Use the site for any unlawful purpose
We may change, suspend, or withdraw the site or any part of it at any time. We work to keep the information here accurate, but we do not warrant that it is complete or error-free.
3. Quote Requests and Estimates
Submitting the quote form starts a conversation — it does not create a contract, reserve a date, or commit either of us to anything. Nothing on this website is a binding offer of service or a guaranteed price.
Any estimate we provide is based on the scope described to us and on what is visible at the time of assessment. Conditions found once work begins — concealed damage, code issues, asbestos or lead, structural problems, or a change you request — may require a revised estimate. We will tell you before performing work that exceeds an approved scope or price.
Unless the estimate says otherwise, estimates are valid for 30 days and material prices are subject to supplier availability. A job becomes a contract when you approve the scope and price in writing.
4. Performing the Work
We perform property maintenance, appliance repair, janitorial, landscaping, flooring, door and window, interior and exterior repair, property preservation, demolition, and plumbing and electrical work in and around Hollis, NY. Licensed trades are performed by appropriately licensed personnel or subcontractors, and we may use qualified subcontractors on any job.
To let us do the work, you agree to:
- Provide safe, timely access to the property on the scheduled dates
- Confirm you own the property or are authorized to approve work on it
- Clear or protect valuables, fragile items, and personal belongings in the work area
- Tell us about known hazards, prior damage, and the location of shutoffs and utilities
Scheduling can be affected by weather, permits, inspections, material lead times, and emergency call-outs. We will keep you informed of any change, but dates are estimates rather than guarantees, and we are not liable for delays outside our reasonable control.
5. Pricing and Payment
Prices, deposits, and payment schedules are set out in your written estimate or invoice. Unless stated otherwise there, invoices are due on receipt, and larger projects may be invoiced in stages as work is completed.
You are responsible for applicable sales tax and for permit fees, disposal fees, and similar third-party charges where the estimate says they are excluded. Balances left unpaid past their due date may accrue a late charge to the extent New York law allows, and we may pause work on a job with an overdue balance.
6. Cancellations, Rescheduling, and Refunds
Our refund position in one line
Cancel before work starts and any deposit is refunded, less costs already incurred on your behalf. Once labor or custom materials have been committed, refunds are limited to the unused portion.
Cancelling or rescheduling. Please give us at least 24 hours’ notice to cancel or move a scheduled visit. Same-day cancellations and lockouts — where a crew arrives and cannot get access — may be billed as a trip charge covering the crew time and travel we could not reassign.
Deposits. Where a deposit is taken, it secures your date and covers initial material purchases. If you cancel before work begins, we refund the deposit less any materials already ordered, custom or cut-to-order items, permit fees, and disposal or restocking charges we have already incurred.
Work already performed. Completed labor and installed or consumed materials are not refundable. If a job is stopped part-way, you are billed for the work performed to that point and any remaining balance is refunded.
If you are not satisfied. Tell us within 7 days of completion. Our first remedy is to return and correct the issue at no charge — see the workmanship section below. Where we cannot reasonably correct it, we will refund the portion of the price attributable to the deficient work.
Approved refunds are issued to the original payment method within 10 business days of approval. Diagnostic and trip fees cover a visit that has already happened and are not refundable, though we routinely credit a diagnostic fee against the repair when you go ahead with it.
If your contract falls under New York’s home improvement rules, any cancellation right the law gives you applies in addition to everything above, and nothing here limits it.
7. Workmanship and Warranties
We stand behind our labor
If our workmanship fails within the warranty period, we return and put it right at no charge for labor.
Unless your estimate states a different period, we warrant our labor for 90 days from completion. Appliances, fixtures, and materials carry only the manufacturer’s own warranty, which we will help you pursue but do not extend.
The warranty does not cover normal wear, misuse, neglect, damage caused by others or by later work, pre-existing conditions, acts of nature, or repairs you asked us to make against our written recommendation. It also does not cover work on materials you supplied.
Except as stated here, services are provided as-is and we disclaim all other warranties, express or implied, including implied warranties of merchantability and fitness for a particular purpose, to the fullest extent the law allows.
8. Limitation of Liability
Please read this section closely
It limits what we can be held responsible for, and caps the amount we can owe you.
To the fullest extent permitted by law, we are not liable for indirect, incidental, consequential, special, or punitive damages, including lost rent, lost profit, or loss of use, arising out of the services or this website.
Our total liability for any claim relating to a job is limited to the amount you paid us for that job. Nothing in these terms limits liability for death or personal injury caused by our negligence, for fraud, or for anything else that cannot be limited under New York law.
We carry liability insurance and can provide a certificate of insurance on request.
9. Disputes and Governing Law
If something goes wrong, contact us first — most issues are resolved with a phone call and a return visit. Please raise a concern in writing within 30 days so we have a fair chance to fix it.
These terms are governed by the laws of the State of New York, without regard to its conflict of law rules. Any dispute that cannot be resolved between us will be brought in the state or federal courts located in Queens County, New York, and we each consent to that venue.
10. Privacy
Information you submit through the quote form is handled as described in our Privacy Policy, which forms part of these terms. Ticking the consent box on the form is how you agree to receive calls and text messages from us about your request; you can reply STOP to any text to opt out.
11. Changes to These Terms
We may update these terms as our services or legal obligations change. When we do, we will revise the effective date at the top of this page. The terms in force when you approved your estimate are the ones that govern that job. If any provision here is found unenforceable, the rest stays in effect.
